The most recent meeting of the Elk River YMCA Founder's Committee was held on
July 17, 2003, at Lions Park Center. Attached for your information are the agenda from that
meeting and the minutes from its recent previous meeting which was held on June 12, 2003.
Mayor Klinzing typically provides the monthly update to the City Council on YMCA
Committee activities but she was not in attendance at the July 17 meeting so I will be
providing this update to the City Council.

MINUTES FOR THE MEETING OF
JUNE 12, 2003

Opening Thought Tom McKinney
Committee Updates The Program Committee met with Chad Lanners and Todd Schoffelman regarding Youth in
Program Committee Government. The committee is very serious about proceeding with this program. The next step is
Ken Ebel to meet with the schools and find a teacher interested in proceeding with this. Great opportunity
for students to see how the system works and to participate in a model legislature.
Chad reported on Day Camp Manitou. Approximately 65 children are currently signed up from
Elk River and surrounding communities. Without a site such as the Emporium, we are not able to
offer families before and after care or a three-day week like last year. As we move forward with
programming these are valuable components to offer.
The Senior Expo drew approximately 50 people. One element to develop out of the Expo was a
"Senior Day at the Y". Five seniors joined us at Northwest for exercise, lunch, and a Senior
Aerobics class. Transportation proved to be a concern. Several seniors were not able to get into
the van and were not able to attend. Sue Kostanshek added that most seniors don't believe a
YMCA will happen. They have to "see it now". More publicity would help.
Michele reported on Elk River Family night, a collaborative between Elk River Rec. and the
YMCA. While the turnout was good, with approximately 170 people attending, the weather may
have caused some to stay away. There were pony rides, moonwalk, games and the YMCA Camp
staff served the food and staffed the booth. A positive change from last year was the ability to
spread activity areas out over a larger area. The next Family Night is scheduled for August 27,
2003. Volunteers will again be needed for that event.
Things are in place fbr the upcoming Sherburne County Fair. Thank you Ed Stoutenburg for
payment of the application fee. This year's booth will be inside, a much better location than last
year. Joni Lawrence has volunteered to coordinate this activity. This is a wonderfid event, a great
opportunity to showcase the Y.
Chad posed the question of how to create more visibility for Day Camp Manitou. Michele said
flyers are displayed at Lions Park and people do take them. Other suggestions were local grocery
stores and Walmart, and already scheduled family events such as Art Soup, or the 4th of July Fest
at Lake Orono as opportunities to distribute flyers. Bill suggested this might be a task for the
Communication Committee.
Communications Ed reported that in order to better address items that come up during the general Board meetings Next meeting is June
Committee the Communication Committee has decided to meet a one week after the board meets. Their next 19, 2003
Ed Stoutenburg meeting is June 19. Distribution of flyers will be added to their agenda. One possibility may be
the Community Education building.
Public Relations Bill stated that the PR Committee has also changed its schedule. No report for today.
Steering Committee The Steering Committee has had limited success in recruitment. We need to expand the circle
Ron Touchette we're looking at in order to draw more people to the steering committee. This is a grass roots
venture. We definitely need many more volunteers.
Updates The FCC mini grant is completed. Grant money is getting tighter, however with a successful NYPUM RODEO
Chad Lanners program, there is a good chance of renewing the grant and securing a youth worker. Several City Camp Mttttitou
and County staff came out to observe the NYPUM program. The program started with 10 youth, Attg. 21, 2003
8 completed the program. The Board is invited to attend the NYPUM Rodeo at Camp
Manitou on August 21, from 6:00pm-8: 00pm. There will be 150 youth and their families
participating in a great event celebrating positive outcomes for at-risk youth. The parent feedback
was extremely positive. One parent letter is attached.
Chad extended an invitation to the entire Board to attend Camp Manitou Summer Fest on
Saturday, June 21, 2003 10:00am - 4:00pm. This is a great opportunity to see Camp Manitou as
well as participate in fun family activities.
Transition Chad reported that his position with Community Development will not be replaced. Several
Chad Lanners people will facilitate the transition. Tom McKinney from Northwest YMCA will help with
programming. The programs being offered evolved from NW so he will be a great asset. A Youth
Development staff from Northwest will assist with FCC grants. The Association offices will work
with the Communication Committee. Robie Wayne will continue to help with the Financial
Development Committee. He has great contacts, skills and knowledge.
Sandy Stooke, Harold Mezile, and Bill Helliwell will visit with the City to detemfine their
support and also with the County to determine their commitment. Bill added that it is very
important to have board members at City and County meetings. Pat Klaers said that City Council
meetings are the 3rd Monday of the month at 6:30pm and that the Mayor has had the YMCA on
the agenda at different times.
Ron Touchette said it is very important at this time of change to discuss the structure of the
committees. We need a small group to keep everything moving and keep a handle on everything.
We can't lose momentum. We also need commitment from Board members as to which
committee they will work with. Its time to be aggressive and move forward. We need to raise
$500,000 before the YMCA of Minneapolis, St. Paul will display a facility "vision." However,
we can use a representative sample to show potential donors.
Bill agreed, we need to set up committees. As far as the Executive committee perhaps one from
each committee and then add influential and affluential people. Our next Board meeting is July
17, 2003. This will be foremost on the agenda.

Chad relationships I've made. I thank you all. I am committed to this project and will have great pride July 7,2003
when it all comes together. And I am confident it will. Thanks, again. I wish you continued
success."
Ken Ebel said he wanted to publicly thank Chad for all of his hard work and etlort and
congratulate him on his new position as Executive Director of the Emma B. Howe YMCA.
Bill Hellilwell also added thanks to Chad. "Hopefully, in a few short years you will be
jealous of what we have here in Elk River." BEST OF LUCK, CHAD!
