SUBJECT: Ice Arena Copy Machine Quotes
Attached for your review is some material from Ice Arena Manager Rich
Czech regarding two quotes he received for a combination copy/fax machine.
City Clerk Sandra Thackeray worked with Rich in obtaining and analyzing
the quotes and she supports the recommendation from Rich. This
recommendation is to lease the machine from IKON Office Solutions in the
amount of $163.00 per month for 42 months, including the maintenance
agreement. This expense would come out of the office supplies line item in
the ice arena budget.
Recommendation
It is recommended that the City Council approve the quote for a copy/fax
machine and maintenance agreement from IKON Office Solutions in the
amount of $163.00 per month for 42 months.

Dear Pat,
With the assistance of Sandy Thackeray, I have been reviewing information regarding
copy and fax machines. The two companies I have been working with are Ikon Office
Solutions and Metro Sales. Both companies provided quotes on a lease of their equipment
as well as a purchase price of the equipment. Both companies' equipment will meet the
needs of the Arena. Upon reviewing these quotes, I recommend that the arena lease a
copy machine and a fax machine from Ikon Office Solutions.
The quote, including the maintenance contract, is $185.50 a month for 48 months from
Metro Sales. Which $157.00 would be for the lease of the Copier (which has a built in fax)
and the remaining balance $28.50, would be for the maintenance agreement (please see
attached item A for further information). Ikon Office Solutions quote was $163.00 a
month for 42 months. Of the $163.00, $117.00 of this would be for the lease of the
Copier, $16.00 for the Fax, and the remaining balance of $30.00 would be for the
maintenance agreement (Please see attached item B for further information).
Once the duration of the lease is completed, either company provides a buy out which is
determined by the fair market value of the equipment. This is usually about 10% to 15%
of the purchase price. Ikon Office Solution does provide an option of a buy out after 36
months.

Elk River Arena Copy Machine
This memo is to inform you that T have reviewed the issues pertaining to the
copy machine/facsimile lease for the Elk River Arena with Rich Czech. Rich
reviewed machines from two companies; Metro 5ales and Tkon Office 5olutions.
The machines offered by both companies had similar features. Rich made the
decision to recommend the lease of the Canon NP652! copier system and the
Canon Plain Paper B380];F Facsimile from ];kon Office 5olutions. The monthly
lease for both of these pieces of equipment, including maintenance, is $163.00
for a 42 month period.
I concur with Rich Czechs recommendation to lease the copier and fax machine
from ];kon Office 5olutions.
