Volunteer Outreach Efforts
This past quarter we have significantly ramped up our efforts to find and retain volunteers for our
many sports and community productions. We use volunteers for camera operators, graphics,
audio, program announcers and also our Movie in the Pazk series.
We aze partnering with many different groups, schools and organizations in our never-ending
quest for volunteers. We of course work with our commission azea schools and have worked
with many students and teachers in our video outreach.
Mbst recently were invited to speak to an Elk River High School video production class about
production techniques and showed them video from various shoots we had done. We also used
the time to tell the students about our commission production trailer.
In Big Lake we recently worked with a class of students to tape a football game. Mazk worked
with the students in the trailer and camera positions while I worked with the student announcers.
The students went away extremely excited! The kids announcing started out shy and very quiet
but by the end of the game they had come alive and did a great job! The student camera
operators did a wonderful job and asked about future opportunities to volunteer.
Who are Volunteers are: Our volunteers range in age from 15 all the way to senior citizens.
They have many interests and come from many backgrounds. We have one volunteer who works
as an accountant by day but when he volunteers for us he comes enthusiastically prepared with
many facts and statistics for his volunteer role as one of our high school football announcers.
Sherburne Wright Cable Commission Volunteers
One of our best volunteer's was sent our way by Mert Auger. This volunteer is a retiree who was
looking for something to do in his spaze time. So faz he has run camera on 12 productions all
over our commission area.
Volunteer Retention: We recognize that our volunteers are valuable resources and we do
everything we canto make their experience fun, safe and comfortable. We provide them with
food, snacks and a full cooler of drinks. We also stock instant heat pads and extra sets of hats and
gloves for cold weather productions.
We aze currently in the planning stages of a volunteer appreciation night. We are trying to secure
an evening at the Monticello Community Center gym where we can honor our volunteers with a
small recognition ceremony and activities including a volunteer picked movie on our indoor
screen! Commissioners will be invited to attend
We keep a log of all our volunteer hours along with their contact information. In our website
design we have incorporated a volunteer recruitment section that will detail all our upcoming
productions along with a signup for volunteer opportunities.
How Commissioners can help: We aze also in the process of setting up volunteer exchanges
with United Way and other organizations that were referred to us by city staff and one of our
own commissioners. Nancy Cazswell of Rockford sent us information about the Senior Services
Program and Jake Pace of Elk River sent us the information about the United Way. Our
commissioners aze in a unique position to know many resources in our member communities. If
you know of anyone who might be interested in volunteering please let us know.
Hockey Night Live!
We aze planning our first Girls hockey shoot on Tuesday November 15~' at 7pm with a game
between Delano and Buffalo at the Buffalo Ice Arena. Rick Todd of Leightronix is flying into
town to help us setup a live shoot linking the PEG Vault in our trailer with the City of Buffalo's
BWIG system. Once our azea wide channel is operational we will be able to offer games like this
commission wide.
Community Education Class
We have been invited to teach a Big Lake community education class on video production. We
have structured the class so that the students learn how to work at all the positions on a remote
shoot. The final class projects are the taping of 2 different high school basketball games. I have
attached the class schedule and information.
We are hoping this creates many future volunteers.
City Equipment Upgrades and Repairs Overview
This past quarter we have had the usual assortment of service calls in every city ranging from
wiring issues and hard drive failures to Nexus fan replacements and battery backup repair. Here
is a brief list of some of the work.
1) We have upgraded monitors in Buffalo and Maple Lake.
2) Added new control room and overflow meeting room equipment in Monticello.
3) Background music has been added to our bulletin board channels in Delano, Buffalo and
Dassel.
4) We have replaced DVD recorders in Monticello and Delano.
5) In Buffalo, Watertown and Delano we upgraded their battery backup systems.
6) Repairs and upgrades were done to Sympodium systems in Delano, Elk River and Big
Lake.
7) Nexus fan replacements in Maple Lake and Big Lake.
8) Worked on network related issues in Watertown, Delano and Big Lake.
9) Relocated editing equipment in Big Lake.
10) Microphone repairs in Watertown and Monticello.
11) Service calls for channel outages in Buffalo, Watertown, Maple Lake, Elk River and Big
Lake.
12) Trailer repairs include work on our camera reels, tripods, camera controllers and
replacing a DBX limiter that burned out.
13) Software updates in all cities.
14) New staff training in Monticello.
I am currently working on equipment upgrades in Elk River, Monticello, Maple Lake and
Cokato.
Commission Web Site Quotes
We are at the stage where we are ready to take the next step in launching a commission web site.
We have done a great deal of planning and design and we want to turn our ideas into substance.
We have developed art work and page backgrounds for the web site and Commission Treasurer
Mert Auger has set us up with software for updating the site once it is up and running. We
searched for a domain name and came up with the name "SWTV.TV".
We would like to hire a person to do the initial coding to get us up and rum~ing. We have gone
out and met with numerous companies in our range and have narrowed it down to 2 companies
that we feel can design the site the way we have planned.
Each company has had experience with designing municipal websites and understands what we
are trying to accomplish. I have attached the quotes from Flying Orange Web Design and SM
Web site solutions.

Watertown
Watertown has a very unique council room situation. The dais and presentation azea has to be
removed after every meeting! The room is setup in such a manor that it is very hazd for the
council members and audience to see the monitors during meetings.
They aze requesting a projector and portable screen so that they can adapt to the changing
meeting situations in their room.

The city is requesting equipment for their council meeting prepazation azea. Elk River staff will
