8. Financial Update
Attached for your review is the budget information for the years 2010—2011 as well as
current information for the 2012 budget and the requested budget for 2013. All
indications suggest that ice sales will supersede budget numbers while the overall
expenditures shall stay flat or below projected budget numbers.
I'm optimistic that revenues for Concessions and Skating will be above the projected
budget and expenditures will be within the budget.
9. Ice Arena Renovation Update
At the City Council meeting on August 13, 2012 staff presented an outline of the four
options for the renovation of the arena. Several items were discussed.
• The history of the barn
• Costs of the renovations
• The city's role—responsibility in financing the renovation
• Commitments from user groups
• Additional operating costs with proposed renovations
• Hours sold, hours used for city programing
• Financing scenario
• Possible sources to generate income
• Option of tearing down the barn, leaving the Olympic/moving the facility to
another site.
• Usage by school district and their lack of interest in financial participation.
At the August meeting Mayor John Dietz directed staff to gather information of operation
costs for each option and possible revenue streams that may be added.
Attached for your review are the Proforma's for each one of the options as well as the
finance information from Ehler options . Tim Simon, the City's Finance Director, will be
in attendance at the Arena Commission meeting to go over each one of them. The
Proforma's will be presented at the City Council meeting on Tuesday November 13th. I
will have an update regarding the discussion that took place at the city council meeting
for the Commission.
10. Banners /Arena Pictures
The outside banners were sold through Govbid.com in the amount of$60.00. However
the person backed out so they're back on the web site until November 16`h. If the
banners do not sell is there a preference to what is done with them?
At the last Commission meeting we discussed the possibility of including pictures of the
N.H.L. players alongside the picture of an existing picture of Joel Otto in the stair well of
the Olympic rink leading to the bleachers. After looking at the area further, I believe that
this area wouldn't do justice for the players that have achieved such a high standard. I
have talked with Mike Jackson; Mike has made all the frames for the High School
pictures and has done a very good job putting them together. I have attached a couple of
picture of the frames for your review. Mike and I did some brain storming; this is what
we came up with;
A shadow box that is large enough for a signed N.H.L.jersey of the player, along with
two pictures (9x11), one of the player in his N.H.L.jersey and another one with him in
his high school jersey. Between the two pictures a history of the players, graduation date,
college, maybe a catch phrase from the player, some words of wisdom.(?) Each shadow
box will cost about $250.00. To help pay for the shadow boxes and the Arena's Hall of
Fame pictures I would like to make a request to the N.H.L. players outlining the hall of
fame program requesting funds to financially support the program.
11. Girls and Boys High School Game Passes
The information has been sent to both Girls and Boys Booster Clubs regarding the high
school game passes. As you are aware of, the Commission voted to create a pass for the
two Clubs that will allow them to sell the passes at a $2.00 discount per game for Adults
and $1.50 discount for seniors. No student passes will be sold, however the Girls and
Boys teams will have receive passes for each other's home games. The first Girl's home
game was held 10`h while the boy's jamboree will be held November 17th and their first
home game is scheduled for December 1st against Wayzata. For your convenience I have
included a copy of the Boy's and Girl's home game schedule.
12. Arena Commission Dates
When the Arena Commission was formed meetings were set on the second Tuesday of
August and April. When the Arena Commission added meetings for January and
November the day was changed to second Wednesday of each month due to High School
Games being scheduled on Tuesday nights. However the second Wednesday of the
month conflicts with the Parks Commission, which is scheduled that evening as well. My
recommendation to the Commission is to schedule all the meetings on the second
Tuesday of the months, January, April, August, and November. Conflicts with High
School games should be minimum the Boys season does not begin until the third week in
November and the Girl's games typically do not start until the third weekend of
November. In January, games are not always scheduled on Tuesdays and if needed
meetings could be re—schedule to another date.
