Attached for your consideration is a request from the Chief of Police
regarding the hiring of an additional clerical person. Typically this request
would be part of the consideration of the 1999 budget, but due to the
maternity leave situation, this additional employee request is being moved
up so that a person can be selected and working within a month or so. The
individual hired would have to have a great deal of flexibility as the work
schedule would be in the evenings. This is due to the lack of clerical space
and the Chiefs belief that the position would be more productive in the
evening.
I support this request. The Personnel Committee will have to make the
determination on the appropriate point ranking and pay grade for the
position.

AUTltORIZATION TO tlIRE ADDITIONAL RECORDS
CLERK
This is to inform the city council of a need for an additional Records Clerk. During the last few
years, we have experienced a significant increase in calls for service and officer initiated activities.
As a result of this, there has been a large increase in police reports needing to be typed, entered in
the State and in-house computer systems, and filed. Due to the work load, this has become
impossible to do in a timely manner in 1998.
In fact, we are presently about five (5) weeks behind on record entry. In the past few months, I
have authorized clerical staffto work overtime in an attempt to get caught up. However, we have
not made much headway. We also have a clerical person who will be absent on maternity leave in
the next couple months. This will further hamper our efforts to remedy this situation.
I am, therefore, requesting authorization to hire a records clerk as soon as possible, so this person
can be trained prior to our employee's maternity leave. At~er our employee returns from
maternity leave, the new records clerk would be working an evening shift in an uninterrupted
environment. I believe this would enhance productivity and make it possible for us to achieve
keeping police records current.
