This is the last board meedng of this almost ten year old organization. An agenda item for this meeting is continued discussion on the community recreation - school finance issue. Bids Motion to accept bid on laminator for $20 by the City of Otsego, and the for $315 made e City of Elk River on computers, phones, chairs, printer, fax, and copier; as well as giving all remaining items to the City of Elk River to do with as they see fit made by Gary Eitel, seconded by Gary Morrison. 5-0. b. 2001 Fiscal Year Update Update provided that we are currently looking at approximately a $2,500 deficit at the end of 2001. This amount includes pay for all vacation, comp and sick time accrued by Community Recreation administrative personnel. Further update will be provided at year end. Elk River - Lions Park Center is well underway and should be complete shortly after the new year. b. Hassan Township- None. c. Otsego - Haunted house went very well. d. Rogers - A feasibility study will be done on a community/fitness center. e. ISD 728 - Will be looking at next steps now that the referendum was defeated. Please include any information you Deficit Report Gary, the District Auditor, will be attending the meeting on Monday to present his findings regarding the deficit. He and I will be meeting on Thursday, December 13th, to go over the last of the audit for 2000. Field Reservations and Assistance Provided to Youth Associations Please bring your municipalities plans for providing services to the local youth associations so that we might coordinate our efforts and make this transition as easy as possible for everyone involved. Year End Reporting Year End information will not be available until mid-January. I am recommending a final meeting take place in mid-February for the Board to cover up any unfinished business. I will do my best to have the annual report completed at this time so that everyone has one for 2001. Michele Bergh Staff Report December 2001 New Brochure The first City of Elk River Recreation Program Guide is complete and was delivered to all Elk River residents with the Star News on December 5th. It was also sent out to the neighboring communities through the schools. We have had some positive feedback on the new format and are happy with the results. January/February Programs We have many opportunities available for ages 2 on up through adults. Some new programming that we are very excited about is available such as the daytime adult fitness classes well as some expanded programming for preschool ages. Open gyms will be ongoing and we will be offering them in Elk River and Rogers through the end of the season. We are also co-sponsoring a skiing program with the City of Rogers that will begin in January. Warming Houses/Ice Rinks We will be opening three in Elk River this year, weather permitting. We'll have one at Handke, one at Lions Park and one on Lake Orono. We will be staffing two people for all evening shifts for security reasons. Emporium We have done some painting inside and will begin some new programs at the end of 2001 or first part of 2002. This will include some open mic type events that the youth have been asking for. We are excited about our new look and the teens have been responding positively to the facelift. New Receptionist Position We have completed the interviewing process and hope to have someone to recommend at the December 17th council meeting. This position will start somewhere around the end of the year and will work 10 am - 2 pm, Monday through Friday. This will be a big help in our office during the peak hours of the day as well as providing RaeAnn time away from the phones and front counter to concentrate on increased marketing efforts, financial reports, and other responsibilities of this nature. I was very impressed with the pool of applicants we had to choose from. They were extremely qualified. Lions Park Center We should be in there by February 1st. The walls are going up and the wiring will be done soon. Our new office furniture has all been ordered and will arrive by the time the building is complete. New Times As excited as we are about the City of Elk River Recreation Department that we have become, we will be sad to see Community Recreation gone. While the members have
