SUBJECT: Recommendation for Reservation Policy for Woodland
Trails Park Cross-Country Ski Trails
Reservations are intended to inform the general public of organized events that are
scheduled for the park ski trails. Staff recommends the following reservation policy for
Woodlands Trails Park.
Recommendation
• 1. Reservations shall be posted at least 2 weeks in advance of any scheduled event
that involves more than 20 people.
2. Events include practice times, as well as competitive meets.
3. Reservation forms can be obtained from the receptionist at City Hall and will be
posted by park department employees.
4. No deposit will be required.
5. Events must allow general public use of some of the park trails. The event trails
and the open trails must be clearly marked on a map posted at the trailhead.
6. Event organizers are to be held responsible for notifying the Elk River Country
Club if any event activities encroach on country club activities or property.
7. Event organizers are responsible for all trash pick up and removal of any
temporary signs that are posted within the park or along park trails.

POLICIES
1. Shelters may be reserved by Elk River Residents only.
2. A copy of this form must be brought to the shelter/gazebo by the person requesting
• the reservation on the reservation day requested.
3. A deposit is required to reserve a shelter and is refundable if the shelter and
surrounding area is cleaned of refuse and debris prior to leaving the area.
4. Picnic tables for the gazebo are available across from Main Street. Picnic tables
should be returned to the shelter the way you found them.
5. You will need a key for Lions#5 to get in!
6. Please clean sink in Lions shelter#5.
7. Park attendant will check the shelter area for compliance of policies
8. The park closes at 10:00 p.m.
9. Please leave the shelters/gazebo CLEAN!
10. All park shelters are handicap accessible.

• PARK SHELTER RESERVATIONS
1. Verify residence of Elk River.
2. Date of reservation.
3. Park and Shelter # (such as 0-1, 0-2, 0-3, 0-4, or L-1, L-2, L-3, L-4, L-5, Band
shell, or Gazebo).
4. Group name.
5. Contact name, address, and phone number.

6. Arrival and dismissal times.
7. If the reservation is for Lion's park shelter #5, write down what key was given to
open the shelter. Do not refund the deposit until this key is returned. Get an O.K.
to shred their check, otherwise they can come back and pick it up.
8. INFORM THE PERSON MAKING THE RESERVATION THAT:

$50.00 less than 100 people
$100.00 over 100 people
$500.00 large community events

Reservation form MUST be filled out and deposit paid one week in advance or '- P r'°11-
they will lose their reservation.
Deposit is refundable if the shelter and surrounding area is cleaned of refuse
and debris prior to leaving the area.
9. Reservation forms are in the file drawer under park reservation forms and policies.
10. Fill out an inspection reservation form for the Street Department at least one day
in advance. They will then post these forms at the park shelters.
