SUBJECT: 2003 Annual Reports

The city annual report for all the city departments is scheduled for Monday, May 3, 2004. All
of the city department heads or their representatives will be in attendance to make a
presentation on recent departmental accomplishments and upcoming goals and activities.
About ten days ago the annual report document and video were distributed to the City
Council. The video is about 1/2 hour in length and highlights significant 2003 city projects.
It also highlights departmental activities that are ongoing in nature and which will be
happening again in 2004 and future years, i.e. Safety Camp, National Night Out, recreation
programs such as Fright Night, etc. This video will not be sho~vn at the City Council
meeting. When a replay of this City Council meeting is put on cable TV the annual report
video will be dubbed in at the beginning of the meeting.
I know that the City Council has had an opportunity to revie~v the report and the video but
we need to remember that the viewing audience generally has not had an opportunity to read
the annual report. (It should be noted during the Council meeting that the annual report is
available on the city website and anybody can contact City Hall for a copy of any and all the
departmental reports.) Accordingly, we will want to briefly talk about a few of the highlights
within each department from the previous year; but the majority of our time will be
dedicated to discussing upcoming projects, activities, and goals along ~vith the Council and
staff question/answer session.

The annual report presentation is the only agenda item for this City Council meeting.
Following the presentation and City Council meeting we would like to have everyone
adjourn to the Upper Town conference room for a brief reception. This will allow everyone
to wind down a little bit, to have some follow-up conversations, and to enjoy some snacks
and refreshments.
