TO: FROM: DATE: SUBJECT: Mayor & City Council Lori Johnson, Finance Director June 26, 2000 Personnel Policy Correction Last December the City Council approved a revised personnel policy. As you may recall the revised policy was drafted by a consultant with final review by a city attorney. The policy has now been in use for several months, and staff recently discovered that one of the eligible uses of sick leave was~ inadvertently deleted from the sick leave section of the new policy. Attached is a corrected copy of the sick leave policy, which includes the same eligible uses that were in the previous personnel policy. The fifth bullet was inadvertently deleted from the revised personnel policy, and this error was not caught during review prior to adoption of the new policy. Action Requested The City Council is asked to approve the corrected sick leave section of the city's personnel policy as attached. 13065 Orono Parkway · P.O. Orientation Period employees may not use vacation leave unless otherwise authorized by the City Administrator. Employees taking more than two (2) consecutive weeks of vacation or a combination of vacation and compensatory time must obtain prior approval from the City Administrator. The City will make every effort to grant vacations at the time requested by the employee, but reserves the right to deny or approve vacation schedules. Regular full-time and regular part-time employees may carry forward from one year to the next unused vacation time up to an amount equal to the total number of vacation days eligible for use during the previous year. Unused vacation time will not be paid out in wages upon termination of employment, except as provided in the Resignation Policy above. SICK LEAVE Sick leave is not a privilege or vested right that an employee may use at his/her discretion. Eligible employees may use sick leave only for the following: · Personal illness or injury; · To attend medical and dental appointments; · To care for sick dependents; · To take dependents to medical and dental appointments; Paid sick leave is provided for regular full-time and eligible part-time employees. Regular full- time employees accrue sick leave at a rate of eight (8) working hours for each calendar month. Regular part-time employees who work a minimum of 1040 hours per year accrue paid sick leave on a pro-rata basis according to the number of hours worked. Regular part-time employees working less than 1040 hours per year are not eligible for sick leave. Temporary and seasonal employees are not eligible for sick leave. There is no limit on the amount of accrued sick time that can be accumulated and carded forward from one year to the next. An employee must notify his/her immediate supervisor at least thirty (30) minutes before the start of his/her regular start time if the employee intends to be absent from work. If an emergency prevents the employee from notifying his/her immediate supervisor at such time, the employee must call his/her immediate supervisor as soon as possible during the workday. The employee is required to keep his/her immediate supervisor informed of his/her anticipated return to work. An employee attempting to use sick time for reasons other than those explicitly permitted in this policy will be subject to disciplinary action up to and including termination. 12
