Klaers, City Ad~tor July 12, 1999 / TO: DATE: SUBJECT: Consider Appointment of Youth Hockey Representative to Ice Arena Commission There has been a vacancy on the seven member Ice Arena Commission since the beginning of the year. This vacancy is the second Elk River Youth Hockey Association (ERYHA) representative on the commission. Attached for your reference are the 6/16/99 ERYHA Board meeting minutes where a motion was made to appoint Kent Madsen to this vacancy. Kent is a former Park and Recreation Commission member, and has been involved in youth hockey activities for a long time. . Also attached for your information is the Ice Arena Commission roster. Recommendation It is recommended that the City Council approve a motion appointing Kent Madsen to the Ice Arena Commission as a ERYHA representative, with a term ending on 2/28/02. . 13065 Orono Parkway · P.O. OLD BUSINESS Board Structure - Joe Bergquist submitted an extensive job description for the Athletic Director position. See attached. A motion was made to approve the job description as presented by Karen Ose, second by Gary Lowe, motion passed. Joe then read a letter of application from Derek Pedlar. After running the ad in the Star News, Derek was the only applicant. Derek has reviewed the job description, feels strongly about the continuity of the program and is willing to accept the position if offered. A motion to close the applications for Athletic Director was made by Loren Holen, second by Marilyn Schumacher, passing unanimously. Motion to appoint Derek Pedlar as AtWetic Director ofERYHA was made by Joe Bergquist, second by Gary Lowe, motion passed. The appointment of AD will extend from 06/01/99 to 05/31/01. hl//;;/q~ e-l?Y f/Pr :e'oa rdl ~- Goalie Clinics - The goalie clinics will fall under the duties of the AtWetic Director. Computer Compliance - The current status ofERYHA's computer was discussed and a motion was made by Joe Bergquist to allow Dick Fursman to buy a computer package up to $2500, second by Karen Ose, motion passed. Clark Linn volunteered to help Dick with the research on the purchase by the next board meeting. . Golf Tournament - The golf tournament has been set for July 30th, flyers have been mailed to all ER YHA members. The tournament needs at least 20 foursomes. The committee has received committments and is now waiting for the registration formS and checks. The Blue Line club has been contacted and was offered $1500.00 if they could bring in two sponsors at the gold level. It was then discussed that we should contact the Girls Hockey Boosters. Robin Skinner will contact Cindy Childs. NEW BUSINESS Fees for the 1999-2000 Season - All level directors and the treasurer will meet on Wednesday, June 30th to set fees and will submit to the board at the next meeting. STAFF REPORTS <President - Dave Aro announced that there is a current opening on the Arena Commission. Discussion followed. A motion was made to appoint Kent Madsen for the open position of Are~a Commission by Joe Bergquist, second by Marilyn Schumacher, passing unanimously. Dave Aro will follow up with a letter to Pat Klaers nominating Kent. Dave discussed the commitments left at the arena, including the landscaping, completion of the locker rooms. Dave will follow up on the remaining costs to complete the projects and submit to the board the next meeting. The issue of the Tim Ostroot case was then discussed. It was determined that we can go ahead and let Tim start his hours at the arena with Rich Czech and Kim Hauger to supervise. Permission was granted to let K.i~l-I~'::l.~~ sup~~~ the Tim Ostroot case. ( June 16, 1999 /) -..__.....~ . District 10 Representative - This is currently an open position. Clark Linn was at the . meeting and expressed interest in the position again. Dave Foss has also expressed interest. Dave Foss will be contacted and a decision on the open position will be made by next meeting. Registration - Karen Ose reported that there is still an unpaid balance of $5500.00 The current listing of all unpaid members will be given to Robin Skinner and Kim Hauger to determine if there are any concession or jersey deposit checks that can be used against the unpaid fees. Karen will then send certified letters to remaining members with unpaid balances. The next step may be a collection agency. Karen will be sending the registration letter for the 1999-2000 season to members the second week of August. Bantam/Jr. Gold Director - No report. Peewee Director - No report. Squirt Director - No report. Mite Director - Joe Bergquist may have a new copier that will be donated to ERYHA. Joe would really like to see us move on the outdoor ice facility this year. He questioned maybe building it into fees. Girls Director - No report. Fundraising - Denise Hennum will be following up on raffle items such as a 4 wheeler for our mandatory fund-raiser. She will submit for approval by next board meeting. All raffles must be approved by the gambling manager also. Denise will contact Coborns on the coupon books. ADJOURNMENT . In this regard, both youth hockey representatives and both public representatives will not come up in the same year.
