6.1.F ERMUSR 04-14-2020UTILITIES COMMISSION MEETING TO: FROM: ERMU Commission Michelle Canterbury Executive Administrative Manager MEETING DATE: AGENDA ITEM NUMBER: April 14, 2020 6.1f SUBJECT: Staff Update ACTION REQUESTED: None DISCUSSION: Per the Governance Policy G.3e DĻƓĻƩğƌ ağƓğŭĻƩ tĻƩŅƚƩƒğƓĭĻ tƌğƓƓźƓŭ ğƓķ 9ǝğƌǒğƷźƚƓ and consistent with Governance Policy G.3d aƚƓźƷƚƩźƓŭ tĻƩŅƚƩƒğƓĭĻ ƚŅ ƷŷĻ DĻƓĻƩğƌ ağƓğŭĻƩ, the Commission conducts a formal evaluation of the General Manager during the second quarter of each fiscal year. As this evaluation is typically done at a closed meeting, it presents a challenge due to the method of which were conducting our commission meetings as a result of the Governors executive orders regarding the pandemic. Staff recommends postponing the General Managers evaluation until a secure method to conduct the closed meeting can be determined, or until its feasible to conduct in person meetings again. A great deal of time has gone into our communications efforts as a result of COVID-19. Additional customer, employee, and commission communications have been implemented. Social media posts have changed direction and are now focused around the measures we have implemented to help keep our employees and community safe, while continuing to provide safe and reliable utility services. Staff has been working to get everything in place for the April 14 commission meeting that will be conducted exclusively by telephone or other electronic means. Special meeting notices and provisions will need to be made to offer the public a way to monitor the meeting and provide public comment. Testing and training on how to use the teleconferencing software has also been a focus for the administration and communications department. Information on the 2020 Water Conservation Rebates, and the Electric Vehicle Charging Program and Electric Vehicle Charger Rebate will be going out to customers with the April bills. Attached are copies of the two bill inserts. The ERMU website overhaul initiative continues to progress as planned. We are currently in stage 2 of the web development process which is the design stage. Typically, at the April commission meeting we recognize the winner of ERMUs Tom Bovitz Memorial Scholarship Award. Although we promoted the scholarship opportunity through local high schools, social media, and our website, we only received only one submission, and as that submission did not meet essay criteria, there will be no 2020 scholarship award.
