Mr. Noyed is requesting that the Council select someone from the city to serve on a Selection Committee that has been established to recommend a person to fill the School Board position recently vacated by Daryl Thompson. The board is required by state law to appoint someone to fill the remainder of Thompson's term, which expires on December 30, 2006. The board has established a selection committee to complete the process and would like each of the cities and larger townships in the district to appoint a member to this committee. In addition, each board member will be asked to select another district resident to serve on the committee. I have been asked by the board to coordinate the process and staff the committee. Prior to Tuesday, November 8, the board would like you to identify someone who lives in your city to serve on the committee. I have attached the tentative time line for the committee and the duties of committee members for your information and to share with individuals who may be interested in serving on this committee. You may appoint a member of your council, or any resident from your community. I apologize for the short time line on this request, but the board is interested in having community members involved in the process and still have the process completed so the new member can be appointed by the end of the calendar year. Assistant to the Superintendent for Community Relations Process and Time Line for Filling Board Vacancy (DRAFT - October 25, 2005) Recommended Composition of the Selection Committee One member from each of the following cities/townships, selected by the city or township officials: . Elk River . Hassan . Livonia . Otsego . Rogers . Zimmerman In addition, each school board member will appoint one member to the committee, for a total of 12 members. The work of the committee will be coordinated and led by a citizen volunteer, and Bob Noyed, assistant to the superintendent for community relations. Process and Time Line for Process · October 27 - Send letters and information to cities and townships asking them to appoint someone to serve on the committee; the deadline for their appointment will be Tuesday, November 8 · October 28-November 14 - Announce and promote the details of the process in What's Happening, Staff Happenings, district web site and Star News and begin accepting applications from residents interested in the board position · November 8 - Deadline for cities and townships to appoint member to selection committee and for board members to select their member for the committee · November 14 - Deadline for interested applicants to submit application materials · November 14 - Provide brief report to the board on the formation of the selection committee and progress of the process · November 15 - First meeting of selection committee to develop criteria for selection, schedule interviews and receive copies of application materials of all candidates · November 21 - Second meeting of selection committee to fmalize interview schedule, interview questions and other details · November 30-December 3 - Tentative schedule for initial interviews · December 5-8 - If necessary, tentative schedule for fmal interviews offinalists · December 12 - Present recommendation of final candidate at the regular meeting of the school board Board Candidate Selection Committee - Duties of Committee Members (DRAFT - October 25, 2005) Members of the board candidate selection committee will be assigned to comp-l~te the following duties: · Develop criteria to be used to review and select candidate · Develop questions to be used in interviews of candidates · Develop discussion process to be followed in determining successful candidate · . Read and review application materials of all candidates · Attend scheduled meeting ahd interview sessions · Select one candidate to be recommended for appointment by the board The committee will meet on Tuesday, November 15, 7-9 p.m. and Monday, November 21, 7-9 p.m. The initial interviews of candidates will be November 3D-December 3 with specific dates and times determined by the committee. Ifnecessary, the committee will conduct a second round of interviews on December 5-7. The recommendation of the fmal candidate will be presented to the school board at its December 12 meeting.
