CLEANING CONTRACT EXTENSIONS

The City Council has inquired about the cleaning of the new
facility on a number of occasions. On this issue I have
indicated that the City intends to continue using its current
cleaning services in the new facility, but that adjustments
will have to be made regarding the paYment contract amounts.
House b Clean has the City Hall contract and Zerwas Cleaning
has the Police Department contract. Both businesses are
registered with the State.

The Police Depart~ent area is increasing by more than three
times its current size (approx. 2650 square feet to approx.
8300 square feet excluding the garage). On the City Hall side,
the area to be cleaned is increasing by more than three times
(approx. 3500 square feet to approx. 12650 square feet).
However, part of the administration area includes rooms that do
not need to be cleaned on a daily basis (i.e. Council
Chambers). The main City offices, hallway, training room, and
lunchroom equals about 10,700 square feet. Both sides of the
facility will be cleaneg five days a week.
I have met with Laurie and Chris regarding the cleaning
new building and discussed such issues as insurance,
cleaning employees, supplies, cleaning area breakdown,
contract amount for the cleaning.

It is believed that ~t will take at least 60 hours per week to
clean the facility and this is the equivalent to at least one
and one-half full time City employees. Staff is recommending
that the City Council ~uthorize $24,600 per year paYments for
the two cleaning contracts. (The City currently spends $10,200
annually for cleaning). Staff feels that this is a tremendous
buy for the City and recommends that we continue to use the
same cleaning services that we currently have and simply extend
their contracts with an adjustment in the dollar amounts. We
have been, and contin~e to be, very pleased with the quality of
cleaning services we have received from Laurie and Chris. Both
Chris and Laurie are in agreement with the dollar amounts being
offered.
