Agenda Section Meeting Date Prepared by Administration A~st 6, 2007 Lori Johnson, City Administrator Item Description Reviewed by Consider YMCA Request for Temporary Office Space Reviewed by Action Requested Authorize YMCA to temporarily utilize office space at City Hall for the Elk River YMCA's Community Director until the YMCA is completed in the fall of 2008. Backa:round/Discussion Anita Lancello Bydlon, Vice President of New Development for the YMCA, has asked if the City would consider providing office space for the first Elk River, YMCA employee beginning immediately and ending when the new YMCA is open. Amanda Larson, a recendy appointed Parks and Recreation commission member, has been hired by the YMCA to serve as the Elk River YMCA Community Director. Space is available in City Hall to house Ms. Larson until the YMCA is completed next fall. If approved, the City will be providing space and a phone connection; the YMCA will be covering all other costs. Financial Impact There is no out of pocket cost to the City to provide office space for the Elk River YMCA Community Director. We were able to have an arrangement like this in Andover and I believe it proved to be beneficial to the City as well as the YMCA. As the construction begins, there will be more and more calls to the City about what is going on and what is the timeline and what is the cost, etc. By having a YMCA employee available, a lot of this work can be taken off of the City staff. In a similar vein, by hiring a Community Director, the Y will have the ability to have a presence in the Community and get more involved in things like Rotary and Lions, work with the local paper, etc. so people can get to know what their YMCA will do for the Community and have a real person who the can connect with. The timeline we are working toward is to have the person out in Elk River August 6th, 2007. The things I anticipate they would need is a cube or some type of desk space, a phone (although they will have a cell phone), a computer connection (they will have a lap top) and perhaps occasional use of the copy machine, which we could reimburse for if necessary. The space would need to be secured and the YMCA would need space until the new Y is opened, which as you know is anticipated being in September of 2008. Please let me know if this is something that could be accommodated by the City to the YMCA. We would greatly appreciate it and believe it will be beneficial to both partners.
