SUBJECT: Volunteer Appreciation Program
INTRODUCTION
The City Clerk has been requested to research the possibility of having some
type of appreciation program. The purpose of the program would be to
recognize those volunteers who give of their service, talent and time while
serving on committees, boards, commissions and task forces.
BACHGROUND
• After talking to clerks from several cities, it has been determined that this
type of program is very common. Most cities seem to have a similar program
which consist of a dinner for the volunteer and apartner/spouse, some type of
gift for the volunteer and a certificate of appreciation for those whose terms
have expired or who are on committees who have disband.
Staff is recommending that the program be available to all volunteers who
have served, or are serving on the following boards, commissions, committees
or task forces:
• Planning Commission
• Steering Committee
• Economic Development Commission
• Economic Development Committees
• Housing and Redevelopment Authority
• Park and Recreation Commission
• Library Board
• Utilities Commission
• Ice Arena Committee
• Business Park Task Force
• Fire Department Compensation Task Force
• Riverfront Corridor Committee

It is also suggested that the City Council and staff liaisons to the committees
and task forces be invited to the dinner.
• The proposed program for volunteer recognition includes the following:
• Dinner - $12/person Q 170 People (85 volunteers plus partners) _
$2,040.
• Gift - $10 - 15/person @ 85 = $850 - $1275
• Certificates of Appreciation = $100
• Total Cost = $2,990 - $3,415
I contacted the Elk River Bowl for a quote on the dinner. The meal cast of
$12.50 includes salad, roll, baked potato, 8 ounce top sirloin steak and
shrimp. The cost also includes tax, gratuity and room rental.
ACTION REQUESTED
Staff is reauestine feedback from the Council re~ardin~ the followine
issues:
• 1. Who should be included in the appreciation program.
2. Whether the Council is agreeable to the location, meal content and cost.
3. Whether the council feels that a gift should be given to the volunteers.
4. When the event should be held. The event would have to take place
following appointments to the offices in January. Anytime in January -
April would seem reasonable; keeping in mind that April is volunteer
appreciation month.
If this type of program seems agreeable to the Council, it is requested
that the Council adopt this program by motion so that staff can
proceed with the planning process. If the council adopts the program,
policy and guidelines for the program will be drafted and brought to
the Council for approval.
