MEMORANDUM
Mayor and City Council
Sandra Thackeray, City Clerk .~Mk
April 29, 1996
SUBJECT: Reorganization of City Offices
Staff has been in the process of discussing the reorganization of the
city offices. The reasons for considering this reorganization are as
follows:
To more efficiently locate department personnel
To allow for additional space in the building department
for the addition of a housing inspector
The need to more efficiently relocate the planning
department so that they are located in a central area
To more efficiently utilize building/zoning/
planning/general public window spaces
A committee was formed to address some of these concerns.
Following several meetings, a sample plan was drawn and reviewed
by the departments involved. (This plan is attached) The basic
alterations proposed are as follows:
To separate the planning department from the building
and zoning department. This will be accomplished by
moving the Planner, Planning Assistant, and Planning
Secretary to a different location. This will also include
providing a room for the City Engineer to be located near
the Planning Department.
This will also allow for more space in the
Building/Zoning Department. This space is needed due
to the additional housing inspector and the Zoning
Assistant moving closer to the department.

To separate the planning customers from the building
and zoning/planning window. This window is often too
small to handle the amount of traffic that is generated. It
is planned to utilize the window near the reception area
for the planning department.
The committee felt that this design would be the least disruptive,
most cost effective and yet allow space for future growth.
Funds for these improvements are available in the city hall reserve
fund from the original construction of city hall.

possible.
