In February per Commission request, staff provided information on options to implement a
phone recording system. One option was to use the phone system we currently have with its
integral recording capabilities. The Commission directed staff to bring back further analysis of
this option and additional associated cost back at the March Commission meeting.
The Inter-Tel phone system we use has the ability to manually record a phone conversation at
anytime. The recording is saved as a voicemail. The voicemails can then be converted to an
email and stored electronically. This process is limited by some licensed software. ERMU has 1
license to do this conversion now. So, currently we have the ability to forward any voicemail to
the phone with this license and convert it to an email. The City has 5 licensed seats including the
1 we are already using. In discussions with Bob Pearson, City IT, there shouldn't be an issue
with using addition 1 or 2 licensed seats for the voicemail to email conversion. Bob is in the
process of getting quotes on adding addition seats and on the costs of adding addition email
storage.
The recording capability and conversion process has been tested on our phone system in both the
office and at the plant. This option works well for our current needs without any addition cost.
Staff recommends using the system we have and readdressing the issue at some future date if we
out grow the capabilities of this system.
